What $250 a Month in AI Should Actually Get You

Here's a number every owner should know. According to the U.S. Chamber of Commerce's 2026 small business survey, the median small business that pays for AI spends $250 a month on it. That's about $3,000 a year, usually spread across several subscriptions nobody tracks together. So what should you be getting back?

Start With the Math

Divide your monthly AI spend by what an hour of your team's time costs. At $250 a month and $35 an hour for office time, your AI needs to save about 7 hours a month just to break even. If your own time is worth $150 an hour, it needs to save you less than 2. Most AI tools can clear that bar easily. The problem is most owners never check.

What $250 a Month Should Buy

If you're paying for AI, you should be able to say yes to these:

  • I can name the job each tool does. Not "it helps with marketing." A specific job, like "it turns job notes into customer summaries."
  • Someone owns each tool. A person uses it every week and knows when it's not working.
  • At least one workflow runs without me starting it. Otherwise you're paying for a fancy search engine.
  • I can see the time it saves. Even a rough number counts.

Two or more no's means you're not getting your $250 worth yet.

Is My Customer Data Safe?

It's the question I hear most from established agents and trades owners with years of customer records. The survey also flagged data privacy as a notable new concern in 2026 for businesses not yet using AI. Ask three things before putting customer information into any tool:

  1. Does it train on my data? Many business plans let you turn this off. Free plans often don't. Read the settings, not the sales page.
  2. Who on my team can see what? Customer records should be visible only to the people who need them.
  3. Can I get my data out and delete it? If you stop paying, your information should leave with you.

Red Flags When Buying

"It does everything" (good tools do one job very well). Per-seat pricing with no plan for who uses it. That's how $250 becomes $800. A demo built on someone else's business. And no way to tell whether it's working.

Composite example: a real estate agent with 15 years in the business was paying about $280 a month across four AI tools. Two overlapped. One nobody had opened in two months. After a review, they kept one, set it up properly for their listing workflow, and cut the bill while saving more time than before.

The Bottom Line

$250 a month is a fair price for AI that does real work in your business. It's too much for AI that sits in a browser tab.
