Engineering an AI-Native Lead Lifecycle for a Solo Real Estate Practice
Most "AI for real estate" pitches amount to a chatbot bolted onto a CRM. A working system needs a full lead lifecycle — generation, intake, follow-up, conversion — where each stage does the job it's suited for. As a solo Real Broker, LLC advisor with no development team, I built that system for my own business first, using only AI skills, connectors, and browser automation. If it couldn't survive one person with no code, it wasn't worth selling to other agents.
The key insight: not everything should be "AI." A CRM handoff needs to be correct every time, not judgment-driven; an ad campaign needs judgment about targeting and compliance; a hot lead deciding whether to tour a home needs a human. Lead Intake
The tempting build — trigger on one form, push straight to the CRM — breaks the moment a second campaign launches. Instead, the trigger is scoped to the whole Facebook Page, so every future campaign flows through with zero reconfiguration. A filter catches malformed submissions, and a lookup table maps the ad form's wording to the CRM's required values; failures route to a manual-review alert instead of vanishing. Testing with real leads caught a filter condition silently rejecting every submission — invisible without deliberately trying to break it before real ad spend went live. An older, unfiltered automation on the same lead source was also retired.
Lead Follow-Up

Lead Conversion
The genuinely hard problem. The obvious approaches failed testing: developer webhooks built for software vendors, not a solo advisor; a native Zapier connector with no triggers at all; an AI copilot that couldn't reliably report muted messages; and a pause toggle that was really a one-way mute, with nurture messages advancing silently regardless. A live test replying to a nurture email produced no alert. Rather than build on a signal that had just failed live, the right call was to stop and say so.
